12 Tips to Plan an Outdoor Wedding:
- CHOOSE A VENUE and figure out what your venue provides and what you will need to rent. Most importantly, do they provide adequate seating?
- HAVE A PLAN B in case of inclement weather. Does your venue have somewhere the ceremony can be moved to, or will you have to rent a tent in case of rain? Many people use the location of the reception as the alternate for the ceremony in case of bad weather.
- CHOOSE A TIME AND FOCAL POINT for your ceremony. The focal point will be where the wedding party stands. It could be a gazebo, an arch, a pergola, etc. Keep in mind where the location of the sun will be during the time of your event.
- LIGHTING for your ceremony. Find out what type of lighting your venue provides after dark. Will you want/need outdoor string lights?
- RESTROOMS - Does your facility have accessible bathrooms or will you need to rent a portable bathroom?
- POWER - Is there a power source close to the focal point of your ceremony or will you need a generator to run electricity?
- DECORATIONS - I would suggest keeping the decorations simple in order to highlight the natural beauty of an outdoor wedding.
- ARRANGEMENTS - How does your venue allow you to secure electrical cords, string lights or decorations. Many places only allow tie wraps to secure your items rather than nails, glue or tacks.
- SIGNAGE - Figure out where you will need to place signs so your guests know where to park, where the ceremony/reception takes place & where the restrooms are located.
- PARKING/TRANSPORT - Does your venue have adequate parking for the number of guests you are expecting? How far will the walk be from the parking area to the location of the ceremony? Will you have guests attending that use a wheelchair and may need assistance with transportation from the parking lot to the ceremony area. You will also need to find out if the booking of your event includes parking attendants, or if you will be responsible for finding attendants to assist with parking cars in an orderly manner.
- LIABILITY - Does your venue provide event liability insurance or will you have to get quotes on a one time event insurance policy in case of accidents or injury?
- UNITY - Do you plan to have something like a special unity candle lighting or sand pouring? Think about the probable weather conditions of your ceremony and decide which one is practical for your wedding. Keep in mind that candles would not do very well in a windy area.
